
The e-Portfolio will support local Trusts to deliver on several measures of the GRS Standards Training Domain. These are listed below:
Training List Planning
The e-Portfolio enables to training lead to plan and monitor the training lists provided in the unit. On the Training Leads summary screen there is a list of all list performed by trainees using the e-Portfolio. By being integral to the training list allocation process, the e-Portfolio helps achieve the following items:
18.3 There is some adjustment of training lists to meet the needs of trainees
18.4 There are informal arrangements for the planning of training list
18.6 There are processes in place that ensure trainees exposure to emergency and urgent endoscopic procedures is maximized
18.10 Feedback is obtained from all trainees on the availability of training opportunity and the quality of the training environment
18.11 There are sufficient training lists to meet the needs of all the trainees
18.13 All training lists are adjusted according to trainees needs
18.17 There is a process in place for training lists to be identified and planned six weeks in advance
Trainer Feedback
The trainee is able to feedback on the quality of the training received on any training list. This feedback is anonymous and can be viewed by the trainer via their portfolio. The e-Portfolio therefore helps achieve the following items:
18.5 Feedback is obtained on an informal basis
18.10 Feedback is obtained from all trainees on the availability of training opportunity and the quality of the training environment
18.14 Actions are planned and implemented in response to trainee feedback
18.18 Processes are in place to ensure that actions taken in response to trainee feedback are effective
Trainer Training Appraisal
The e-Portfolio has a trainer log on which allows the trainer to review their trainee’s performance and review their own training experience (eg number of dedicated training list, anonymous feedback etc. The Training Lead can use this feedback to support appraisal of training. The e-Portfolio therefore helps achieve the following items:
19.7 There are occasional evaluations of trainer expertise
19.11 All trainers undergo an evaluation of their training expertise at least once/year
19.12 There are recommendations for trainer development in response to evaluations of their training expertise
19.16 There is a process in place for ensuring the actions taken following revue of trainer evaluations are acted upon and effective
Trainee Assessment
The e-Portfolio uses JAG approved DOPS as the main tool of trainee assessment. These can be filled in during any training list. The learning objectives then populate the trainee’s personal development plan. The e-Portfolio therefore helps achieve the following items:
20.3 Trainees are assessed on an ad hoc basis with informal methods
20.7 Trainees are assessed on an ad hoc basis with formal methods
20.10 Trainees are assessed on a regular basis with objective measures such as JAG-approved DOPS
20.15 Adjustments are made to future training lists on the basis of assessments
Trainee Accreditation Level
As the e-Portfolio has a central server, data is “carried” with the trainee from hospital to hospital. Certification levels are also carried. The certification levels will be controlled by the local trust lead, but should only be changed when the trainee has passed JAG certification. Independently practicing trainees’ performance can be monitored via the Training Lead’s summary screen so that extra training can be provided if required. The e-Portfolio therefore helps achieve the following items:
20.6 There is a policy within the department for defining and monitoring independent practice of trainees
20.12 The performance of trainees practicing independently is monitored and reviewed
20.13 If a trainee who is not on the independent register performs a procedure unsupervised an adverse event is registered
20.17 If performance of trainees practicing independently is below acceptable standards, the trainee’s rights to independent practice are revoked pending further training and assessment
JAG Courses
The e-Portfolio links with JETS course module. The courses that a trainee has completed are listed in their e-Portfolio. The e-Portfolio therefore helps achieve the following item:
20.2 All trainees who have not completed mandatory JAG courses have booked a date for the next course within this attachment
